I am unsure about what to study, where can I get help?
Contact our student counselors if you are unsure about your program choice.
The student counseling service can help answer any questions you may have and can refer you to lecturers or current students if you have subject-specific questions.

Every fall, we participate in studiepraktik , where you can try out a program for 2-3 days.
Application forms
Application for dispensation
If you do not meet the formal admission requirements for the program, you must apply for admission with special permission and undergo an individual competence assessment (IKV).
This is done by first submitting an application for the desired program via Optagelse.dk. In your application, you must check the box “I am applying for admission with special permission.”
After that, you must complete a formal application for exemption. You can find the form here.
You should only apply for an exemption if:
- You do not have a qualifying exam but have obtained (and can document) equivalent qualifications in another way.
- You have a qualifying exam but are missing specific admission requirements or do not meet the language requirements, and instead, you have other qualifications that can compensate for the missing requirements.
- You have applied after the official application deadline. (Note: In this case, you cannot submit your application via Optagelse.dk first.)
Required Documentation:
- You must attach all relevant documentation proving your qualifications both on Optagelse.dk and in your exemption application. It is especially important to submit your exam certificate if you have one.
- On the form, you should also include a brief statement explaining your motivation for applying for an exemption.
- Remember to attach all relevant documentation to your exemption application. It is your responsibility to submit these documents to us.
Please note that being granted an exemption does NOT guarantee a place in the program you have applied for. You will only be assessed alongside all other qualified applicants. The exemption only applies to the specific program at the Business Academy SouthWest for the given admission period and cannot be reused.
Application for re-enrollment
If you have previously been enrolled in the same program at the Business Academy SouthWest, you must be aware of the applicable rules for re-enrollment.
If your withdrawal was due to:
Exhausted exam attempts
Failure to pass the study start test
Failure to pass the first-year exam
Not meeting study activity requirements
Program-specific regulations
The Business Academy SouthWestt will conduct an individual academic assessment to determine whether your chances of completing the program have significantly improved.
If you withdrew under the following circumstances:
I voluntarily withdrew from the program
If you withdrew from the program yourself, an assessment will be made to determine whether you can complete the program within the given time frame (see the section on Extended Study Time). If you are unable to do so, you must apply for an exemption to extend your study period.
Note: You must wait at least 5 months from the date of withdrawal before you can be re-enrolled in the program (cf. §39, section 4 of BEK no. 56 of 10/01/2024).
I was withdrawn due to exhausted exam attempts or program regulations
If you were previously withdrawn from the program due to exhausted exam attempts or program regulations, you can only be re-enrolled if you can demonstrate that your ability to complete the program has significantly improved.
Please contact the student administration to learn more about applying for an exemption if necessary.
Important: If you have not passed study elements equivalent to the first year, you must apply for enrollment again through Optagelse.dk or NemStudie.dk.
The rules for re-enrollment can be found in §37 and §39 of BEK no. 56 of 10/01/2024.

- June 1st for the fall semester
- December 1st for the spring semester

Application for merit
When applying for admission to the Business Academy SouthWest you must state whether you have previously been enrolled in a higher education program and which courses or educational components you have completed. These details are used to assess whether you can receive credit transfer (start merit), allowing you to complete your studies faster.
Required Documentation:
- Remember to attach documentation for all completed courses, including ECTS credits.
- If you are applying for credit based on work experience, you should also include your CV, a statement from your employer, and employment contracts.
Make sure to check the specific documentation requirements on the institution’s website. The credit assessment will only take place after you have been admitted and have accepted your place.
If you are currently enrolled in a program, you must upload documentation for completed courses by July 5th on Optagelse.dk.
How to Apply for a Credit Assessment:
- To receive a credit assessment, you must fill out a credit transfer evaluation form. You can find the form here.
- The head of the program you are admitted to will assess your eligibility for credit transfer.
Application for transfer
You must apply for a transfer if you wish to continue your current education at the Business Academy SouthWest.
As a general rule, you must have completed the first year of study. If you have not completed the first year, you may apply for an exemption to transfer in special cases.
Conditions for Transfer:
- There must be an available spot in the semester you wish to transfer to.
- You must complete a formal transfer application. You can find the form here.
- REMEMBER to submit an updated transcript of records from your current program.
- It is your responsibility to provide the necessary documentation.*
If your transfer application is approved by the Business Academy SouthWest, additional relevant conditions for your transfer will be determined.

Opening hours for SU-guidance
The SU-Guidance Office is open on Mondays from 09:45-11:00, Tuesdays from 12:00-14:00 and Thursdays from 12:00-14:00. The SU-Guidance Office can be located in the basement via the Student Services Office.

How do I communicate with the Department for SU?
Normally any questions regarding SU are handled by the SU-Office at your place of education, but if you have any questions regarding SU as a foreign citizen and your equal status you are able to contact the Department for SU in Denmark directly.

If your question is not directly related to your equal status, you should try and contact the SU-Guidance Office at the academy first at +45 4177 5790 or by mail at: su@easv.dk.
How to apply for SU?
In order to apply for SU-grant as a foreign citizen you have to apply for equal status with Danish Citizens. You can apply for equal status based on two sets of rules: You can apply for equal status under Danish rules or under the EU-law. It is very important that you acquaint yourself with these rules before you apply for equal status.

Can I get SU during the summer vacation?
Yes, if you attend an SU-approved education and have applied for SU, you can recieve SU during the summer vacation, until you have completed your education.
After the education ends, which is typically in june, there is no option to recieve SU. If you are attending and academy education and continue directly to a relevant top-up PBA, you have the opportunity to recieve SU in the intermittent summer vacation.
However, it is required that you are accepted for the PBA, you have recieved your letter of acceptance and you must have finished you academy programme, before you can apply.
Do I have to pay tax from my SU?
Your SU is a mandatory tax income, and the agency deducts taxes from it, before it is paid. However you are not required to pay the labour market contribution of your SU.
The SU-agency gets information about your taxes directly from SKAT. Therefore you are not required to send your taxcard to the agency. If you have questions with regards to you taxes, you have to contact SKAT on phone nr 72 22 18 18 or the communal citizens service.
You have to be aware of not paying enough taxes. This happens if your monthly deductible from your main tax card is used in multiple places (for instance if Styrelsen for Videregående Uddannelser and another workplace uses the main tax card simultaneously).
It is solely your responsibility to get either your place of work or the SU-agency to deduct taxes on one of your other tax cards. If you wish that the SU-agency deducts your taxes on another tax card, you have to notify them in minSU, be aware that they cannot make these changes retrospectively.
How much may I earn whilst receiving SU?
There is a limit to how much you may earn whilst receiving SU (your tax-free amount). If you earn more than your tax-free amount, you are required to pay back som of your SU and possibly some of your SU-loan.
The size of your tax-free amount depends on how many months worth of SU you have recieved throughout a year. Other factors that also come into play are if you’ve had leave during the year, if you’ve recieved other public support than SU or if you have decided to omit some months of SU.
You should be aware that, your tax-free amount is calculated for the period January 01 – December 31 for all years in which you have recieved SU (this also applies if you have just recieved SU for one month). If this has caused you to earn too much during a part of the year, this can mean that you can’t recieve SU for the rest of the year.
The SU-guidance office are not allowed to help you calculate your tax-free amount.
Which incomes count on my tax-free amount?
In you yearly overview from SKAT you can see, which of your incomes they have registered. This number is the base of the calculations made by the SU-agency, to determine if you have earned to much subsequently with receiving SU.

Your holiday pay counts towards your tax-free amount, for the year in which you are taxed from them (the taxation year).
The taxation year is the year, in which your employer reports your holiday pay to SKAT.
It can be the year in which you earn them, but it can also be the year in which you recieve them. Contact your employer to find out when your holiday pay has been reported to SKAT.
You regret your choice to not recieve SU in a period?
If you regret, that you have chosen to not recieve SU in a month, you have to fill out a new SU-application for that month. You have to apply before the end of the month, in which you have decided to recieve SU anyways.
If I have to go on maternity leave, then what do I do?
First things first, you have to communicate with your guidance councilor on your education, to agree, how your absence from the education must be planned.
Ones this is orchestrated, you can approach a SU-councilor, who can help you to figure out, how to apply for SU in the best possible way in accordance to your leave.
What do I do when I need to pay back my SU-loan

I am doing my internship abroad, should I do anything?
If you are doing your internship abroad, your SU automatically comes with you. However you have the opportunity, if you still live at home, to apply for the SU for people living on their own. This is done via www.su.dk.
How do I find a place to live?
Business Academy SouthWest cannot help you with housing unless you’re an Erasmus+ student/exchange student. Therefore we have made a list of links to help you. Business Academy SouthWest cannot be held responsible for the content of these sites. Contracts are between you and the landlord.

How do I reset my password?

How do I get access to Moodle
Moodle is an online portal, where the lecturers upload teaching materials, assignments, relevant dates and so on to you as a student.

How to get two-factor authentication for access to your devices outside of campus
Business Academy SouthWest uses Microsoft Multi-factor authentication (MFA) for access to Microsoft 365 when you are outside of Campus. All students are required to install this. For students studying online you will be introduced to this during the beginning of your education at Business Academy South West.
